Who we are
Cruise Azure Parking Ltd ("we", "us", "our") provides cruise parking at Southampton. We are the controller of the personal data described here. This policy explains what we collect, why, how long we keep it, and the choices you have.
The information we collect
- When you book: your name, email, phone number, vehicle registration, make, model and colour, your travel dates, terminal and ship, whether you are flying, and any notes or requirements you give us.
- When you create an account: your email and a password (stored only in a securely hashed form, never in plain text), plus your saved vehicle, contact details, booking history and language preference.
- When you pay: your payment is handled by our payment provider, Stripe. We receive a confirmation and a reference, but we never see or store your full card number.
- When you contact us, or we contact you: the emails and text messages we send about your booking, and anything you send back, including enquiries.
- When you use the AI assistant: the messages you type, and if you use voice, the text we transcribe from it. We do not store the audio.
- When you leave a review: your name and the review you write. If we approve it, your first name and last initial and the review text are shown publicly.
- When you use the website: cookies and similar data such as your IP address, device and browser, and the pages you view. See Cookies below.
Vehicle registration lookup
When you enter your registration during booking, we send it to a licensed vehicle data lookup service (such as the DVLA vehicle enquiry service) to retrieve the make, colour, fuel type and vehicle category, so you do not have to type them. We keep a short cache of the result (up to 90 days, keyed on the registration) so repeat lookups are quick. If you do not book, that cache entry is removed within 90 days. If you do book, your registration stays on the booking for the retention period below. Your registration is never written to logs in plain text or shared with anyone else.
How we use your information, and our lawful basis
- To take and manage your booking, run your account, and bring your car back to you. Basis: performance of our contract with you.
- To send booking confirmations, reminders and operational updates by email or text. Basis: performance of our contract.
- To keep the site and your booking secure, prevent fraud, answer enquiries and improve our service. Basis: our legitimate interests.
- To provide analytics and embedded features, and to send any optional marketing. Basis: your consent, which you can withdraw at any time.
- To meet our legal duties, such as keeping tax and accounting records. Basis: legal obligation.
The AI assistant
Our website offers an AI assistant for quotes, bookings and questions. Your messages are processed by our AI provider, Anthropic, under a zero retention agreement, which means they do not keep your messages or use them to train their models. We hold the conversation so the assistant has context and so we can check quality and safety.
We keep chats as follows: anonymous chats are archived after about 24 hours of inactivity, and signed in chats after 30 days. An archived chat is replaced with a short factual summary after 30 days, the summary is kept for at most six months, and then it is deleted. We do not store any audio, and we do not store card details from a chat. Please do not type sensitive personal information into the assistant. It is there to help, but it can make mistakes, so check anything important with us.
Cookies
We use essential cookies to run the site, keep you signed in and hold your booking. With your consent we also use analytics cookies (Google Analytics, with your IP anonymised) to understand how the site is used, and marketing cookies for embedded widgets such as Trustpilot reviews. You choose when you first visit, and you can change your mind anytime from the "Cookie Settings" link in the footer. Nothing optional runs until you allow it.
Who we share your information with
We do not sell your personal data. We share it only with the providers who help us run the business, and only as far as needed:
- Stripe, for payments.
- Our email and SMS providers, to send booking messages.
- Google Analytics, for website analytics (only if you allow analytics cookies).
- Anthropic, to power the AI assistant.
- Trustpilot and Google, where review content or widgets are displayed.
- A vehicle data lookup service, as described above.
- Our hosting provider, which stores the data securely on servers in Germany.
If your booking was made through a travel agent, we share that booking with the agent. We may also disclose data where the law requires it.
International transfers
Some providers, such as our AI and analytics providers, may process data outside the UK. Where they do, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or equivalent contractual protections.
How long we keep your information
We keep booking and account data for up to three years after your last booking, then delete it, except where the law requires us to keep certain records longer (for example transaction records for tax, which we keep for six years). AI chats follow the schedule above. The vehicle lookup cache is kept for up to 90 days. Reviews stay until you or we remove them. We keep a record of your cookie choice on your device.
How we keep it safe
Data is encrypted in transit. Passwords are stored using a strong one way hash, never in plain text. Access is limited to the staff who need it, and our systems sit behind authentication and per account isolation.
Your rights
Under UK GDPR you have the right to access your data, correct it, erase it, restrict or object to how we use it, ask for a copy in a portable format, and withdraw consent. If you have an account, you can download your data and delete your account from your account settings at any time. To exercise any right, email bookings@cruiseazureparking.com. You can also contact the Information Commissioner's Office (ICO) on 0303 123 1113, though we would like the chance to put things right first.
Children
Our service is for adults. We do not knowingly collect data from anyone under 18.
Changes to this policy
We may update this policy as our service changes. The date at the top shows when it was last revised.
